These terms explain how enquiries, bookings, changes and cancellations are handled.

1. About these terms
Cynefin Quest is operated by Joe Fishwick in North Wales. These terms apply to guided walks, scrambling, climbing, skills sessions, family days and bespoke outdoor activities supplied by Cynefin Quest. Contact: hello@cynefinquest.co.uk or 07942 981572.
2. Enquiries, quotations and booking
An enquiry or provisional discussion is not a confirmed booking. We will provide a written proposal or quotation explaining the activity, date, price, what is included, any deposit and payment dates. A booking becomes binding only when we confirm it in writing and any stated deposit or payment has been received.
Please check the confirmation carefully and tell us promptly if anything is incorrect.
3. Prices and payment
The price and payment schedule will be stated before you commit. Unless the quotation says otherwise, personal travel, accommodation, food, parking and personal equipment are not included. We will not add compulsory charges that were not disclosed before booking.
4. Your information and suitability
You must provide accurate information about group size, ages, relevant experience, fitness, confidence, accessibility needs and any safety-critical health information requested before the activity. Tell us promptly if anything changes.
We may decline or adapt an activity if reasonably necessary for safety, qualification limits, group suitability or the wellbeing of participants. This is not a judgement of ability; it is part of responsible outdoor planning.
5. Outdoor risk and participant responsibilities
Outdoor activities involve hazards including uneven or steep ground, rock, water, weather, exposure and remote locations. Risk cannot be removed completely. We manage foreseeable risks through planning, professional judgement, equipment and participant briefing.
Participants must follow reasonable safety instructions, use equipment as directed, behave responsibly and tell the leader if they are unwell, uncomfortable or wish to stop. A participant may be excluded where behaviour creates a material safety risk. Any response will be proportionate to the circumstances.
6. Children and supervision
A responsible adult must make the booking for anyone under 18 and provide requested consent and suitability information. The quotation will explain the supervision arrangements and whether a parent or guardian must attend.
7. Weather, conditions and route changes
Routes, venues and objectives are never guaranteed. Weather, ground conditions, access, group needs and safety may require us to relocate, shorten, adapt or postpone an activity. Where a suitable alternative provides the essential service booked, that alternative may be offered on the original date.
8. If we cancel
If we cannot provide the booked service and no suitable alternative or mutually agreed new date is available, we will refund the amount paid for the part not supplied. We are not responsible for separate travel, accommodation or other arrangements, except where the law requires otherwise. We recommend appropriate travel and cancellation insurance.
9. If you cancel
Your quotation or booking confirmation will state the cancellation scale before the contract is formed. Any amount retained will be fair and will reflect losses we cannot reasonably avoid, taking account of saved costs and whether the date can be resold. We will explain how to cancel and confirm any refund due.
Some leisure services booked for a specific date may not carry the standard statutory cooling-off right that applies to many distance contracts. We will tell you about any applicable cancellation right before the booking is confirmed. Nothing in these terms affects your statutory rights.
10. Changes requested by you
We will try to accommodate a requested change of date, group or activity, but cannot guarantee availability. We will explain any price change or unavoidable cost before you agree to the change.
11. Our responsibility
We will provide the service with reasonable care and skill. Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or your statutory rights.
We are not responsible for loss caused by inaccurate or withheld participant information, failure to follow reasonable instructions, or events outside our reasonable control, except to the extent that the law says otherwise.
12. Complaints
Please raise a concern during the activity where possible so we have an opportunity to address it. Afterwards, contact hello@cynefinquest.co.uk with the booking details and what outcome you are seeking. We will acknowledge the complaint and aim to provide a considered response within 14 days.
13. Personal information
We handle personal information as described in our privacy policy.
14. Law and jurisdiction
These terms are governed by the law of England and Wales. Consumers may bring proceedings in the courts available to them under applicable consumer law.
